How to Set Up a Conference Room

A conference room is where top business executives hold meetings to discuss serious business issues. Because of the sensitivity of issues discussed in the room, it makes sense to make the room more conducive, more private and more convenient to everyone.

Room Pattern and Arrangement

Arrangement of tables and chairs greatly affect the audience. Therefore, this is the major reason why conference room arrangements must be strategically planned. The different set up styles are:

* U Shape- This type of arrangement is best for small groups that call for conversations between the presenter and audience. Generally, you have to connect six to eight foot tables end to end in order to form a U shape where chairs are placed around the outside of the U.

* V Shape- This style provides an opportunity to presenter and the audience to look each other and insures their active interaction with each other. It creates a more comfortable type of feeling between the presenter and audience. We have to make three rows of tables with chairs facing the front of the room to form a V shape.

* Classroom Style- This set up is more appropriate when presenters of meetings or conferences will mostly provide information to the audience. Like in most educational institutions, classroom style is set up with rows of tables with chairs, or with tables facing the front of the room.

* Theater style- This style works well when the participants need to take minimal notes since there will be no tables provided. Theater style is arranged by having rows of chairs facing the front of the room and usually divided by a center aisle.

* Conference Style- This set up style is ideal and perfect for small brainstorming sessions where people sit close to each other. In this style each participant is provided good visual and communication lines so that they can discuss on the topic comfortably. Only one table is provided in the center of the room along with the chairs.

* Hollow Square- The arrangement for this style is similar to the set up for the conference room, only that table will form a rectangular outline with open rectangular space in the middle.

Room Equipments and Necessities

There are few other factors aside from setting up the conference room that need to be remembered in order to properly and completely and dcor the room, including:

* Large screen and projector

* LCD

* Photocopying machine

* Printing facility

* Internet facility

* Proper Lighing

* Sound system

* Multimedia technology

* Access to facilities for the disabled

Tables and Chairs for Conference Room

Tables and chairs should be chosen in accordance with the set up the style for the room so that it will give a more professional look. Make up your mind that what type of furniture you want in the room. Some people like to go for the modern style whereas, other prefer old fashion style. You should bear in mind that your choice of furniture must conform to the theme of the entire office, or else it will make your company look unprofessional and inappropriate. Moreover, make sure that the furniture will serve the purpose for the meeting rather than adding them aesthetic appeal to the room.

No matter what set up style you pick, you should make sure that you have an ample space for people so that they can move comfortably in and around the conference room. Further, provide enough space for presenter too so that he can reach to the audience closer.
